User Manual: ISLA Tracker
Your personal assistant for call tracking and earnings
Welcome to ISLA Tracker! This program was created with one single purpose: to let you focus on interpreting while the software accurately tracks your time and money.
You don't need to be a computer expert to use it. If you know how to point, click, and type, you are ready to get the absolute most out of this tool. Below is a simple guide on what each feature does and how it helps you.
1 "Settings" Tab
What is it for? This is where you tell the program how you work and how much you charge.
Before you start taking calls, you should visit this tab to set things up. It is divided into the following sections:
- General Settings (Operation Mode): Here you can choose if you want the program to be Automatic (it automatically detects incoming calls by "watching" your screen) or Manual (you click a button to manually start and stop your calls).
- OCR & Detection Settings (The program's "eyes"):
- Monitor Region: This tells the program which part of your screen it needs to look at to know when a call comes in. Just click "Select Region..." and draw a box around the area where your calls usually pop up.
- Min duration: If a call drops after 5 seconds and has no ID, the program will delete it automatically so your log isn't cluttered with "ghost calls." You can set that time limit here.
- Platform OCR Configuration (Your Agencies and Rates): The most important part
for your wallet! Here is where you add the agencies you work for (e.g., GloboHQ, Propio).
- Rates ($/min): Enter how much you get paid per minute for Audio and Video calls.
- Rounding: Many agencies will pay you for a full minute if you pass a certain number of seconds. For example, if you enter "30", a call lasting 5 minutes and 31 seconds will automatically be billed as 6 minutes. You won't lose a single cent!
- Hold Timer: Set your wait times. You can set the clock to turn yellow at 10 minutes and red at 14 minutes. This gives you a visual warning of when you should hang up if the client isn't answering.
- Break Timer: Set how long of a break you want to take and pick an alarm sound to remind you when it's time to get back to work.
2 Floating Tools (Widgets)
What are they for? To keep your info handy without cluttering your screen while you interpret.
In the top menu, under Tools, you will find two small windows that you can drag anywhere on your screen:
- Floating Timer: A small box showing the duration of your current call. It features a "Hold" button. When a client puts you on hold, click it. It will track your hold time and change colors based on your Settings to warn you if you've been waiting too long. You can also type the Call ID right there so you don't forget it.
- Floating Earnings: Shows exactly how much money you've made today. It has an "Eye" button in case you want to hide the dollar amount (perfect if someone is looking at your screen). It also has a button to start your "Break"; when you click it, a countdown begins and an alarm will sound when your break is over.
3 "Fixed Schedules" Tab (Dedicated Time)
What is it for? To separate the hours where you get a fixed hourly wage from the calls where you get paid per minute.
Many interpreters work "Freelance" (charging per minute) but occasionally take "Dedicated Schedules" (for example, getting paid $15/hour to be online Tuesdays from 8 AM to 12 PM, regardless of how many minutes you actually speak).
How to use it:
- Go to the Fixed Schedules tab and click "Add New".
- Give it a name (e.g., "Tuesday Medical Shift").
- Enter your exact hourly rate.
- On the calendar grid on the right, check the boxes for the days and hours you work that shift. Then hit Save!
Why is this so useful? Because if you take a call on Tuesday at 9 AM, the program is smart enough to know you are on your "Fixed Schedule." It won't add cents per minute for that call; instead, at the end of the month, it will tell you: "You worked 40 hours on a fixed schedule this month, you earned $600." It keeps your accounting completely accurate and separate from your per-minute earnings. If a call starts on freelance time and ends during your fixed schedule, the program will even split it automatically so your billing is flawless!
4 "Monitoring" Tab (Your Daily Dashboard)
What is it for? This is the main screen you use while you are working.
- Start Monitoring: Click this, and the program starts "watching" your screen, waiting for a call to come in.
- Giant Clock: Shows the exact duration of your ongoing call.
- Today's Earnings: Shows a clean summary of what you've earned today, separating what you made as a Freelancer (per minute) and what you made on a Fixed Schedule (hourly).
- Recent Calls: A quick table showing the calls you've taken today. If for some reason the app didn't read the client ID perfectly, you can easily double-click the call here and fix it yourself.
5 "History" Tab (Logs and Invoicing)
What is it for? This is your personal accountant. You come here at the end of the month to know exactly what to put on your invoice.
This tab safely stores absolutely every call you've taken since you installed the software.
What info does it show and why is it useful?
- Filters: You can search for calls from a specific date range, from a single agency, or search for a specific Call ID. (This is super helpful if an agency claims you didn't take a call and you need to look it up to prove you did).
- Summary (KPIs): Tells you your total calls, actual hours worked, "rounded" hours billed, and a beautiful metric: The Difference. It tells you exactly how much extra money you made thanks to your rounding rules.
- Export: On the right side, you have your magic buttons. You can export everything to Excel or PDF. The PDF includes highly professional charts showing which agencies bring in the most money. This is perfect to attach to your invoices at the end of the month to get paid without any disputes.
- View Statistics: Clicking this opens a window with charts so you can analyze which days of the week you make the most money and which platform is the most profitable. It helps you make smart business decisions about when and where to log in!
